Privacy Policy

Vital Code Consulting LLC. Effective September 14, 2026.

Vital Code Consulting LLC is a consulting practice. We produce advisory and design work for our clients, including health and wellness plans, fitness and meal plans, business development and operations advice, coaching, staff training, and marketing materials. Every deliverable is a document, plan or design. We do not sell, ship or handle physical products. This policy explains what information we handle in the course of that work and how we treat it.

Information we handle

We hold the information needed to deliver an engagement and to bill for it:

• the client's business name, contact name, email address, telephone number and billing address;
• correspondence and the material a client shares with us so we can prepare their plans or programmes;
• a record of the invoices we have issued and which of them have been paid.

We collect this information directly from the client. We use it only to carry out the engagement, to invoice for it, and to keep the accounting records that tax and company law require of us.

Payments

Clients pay by following a secure payment link issued by our accounting and payments provider, and the payment is completed on that provider's own page. We do not take card details over the phone or by email, we do not charge cards ourselves, and we never store card numbers or bank credentials. What we see and keep is the record that an invoice was paid.

What we do not do

We do not sell personal information. We do not use it for advertising or profiling, and we do not pass it to advertisers or data brokers. We share it only with the service providers we need in order to operate, being our accounting and payments platform and our professional advisers, and where the law requires disclosure.

Internal tools

We use an internal, private software tool that connects to our own accounting records so that the owner and the owner's assistant can prepare invoices, look up account records and reconcile accounts. That tool is used by us alone, is not offered to anyone else, reads only our own company's data, and cannot take payments or move money.

Retention and security

Client records and accounting records are kept for as long as the engagement and the applicable tax and company law require, and are then disposed of. Access is limited to the people who need it to do the work.

Your choices

A client may ask us what information we hold about them, ask us to correct it, or ask us to delete anything we are not obliged to retain. Write to the address below and we will deal with it.
